Business Voicemail Greeting Scripts: 10 Examples for Small Businesses

DialSwarm team · October 17, 2026 · 4 min read

What a business greeting needs to do

Your voicemail greeting is the first thing a caller hears when you cannot answer. It should do four things in about 15 to 20 seconds:

  1. Confirm they reached the right business.
  2. Tell them when they can expect a callback.
  3. Tell them what to leave in their message.
  4. Point urgent callers to the right place.

That is all. Long greetings with full menus, slogans, or website promotions make callers hang up before the beep.

This article is about your own outgoing greeting, the message callers hear on your line. If you are looking for scripts for messages you leave on someone else's phone, those are a different skill.

Standard greetings

1. Simple and friendly "Thanks for calling Riverside Plumbing. We cannot get to the phone right now. Please leave your name, number, and a quick note about what you need, and we will call you back today."

2. With a callback window "You have reached Northwind Bookkeeping. We return calls within one business day. Leave your name, number, and the best time to reach you, and we will be in touch."

3. With a text option "Hi, you have reached Lakeside Insurance. Leave a message with your name and number, or text this number if that is easier. We will get back to you shortly."

Only promise a callback time you can keep. "Today" is a commitment.

After-hours and holiday greetings

4. After hours "Thanks for calling Riverside Plumbing. Our office is closed. We are open Monday to Friday, 7 a.m. to 5 p.m. Leave your name, number, and what you need, and we will call you first thing tomorrow."

5. Weekend "You have reached Northwind Bookkeeping. We are closed for the weekend and will return calls Monday morning. Please leave your name, number, and a short message."

6. Holiday "Thanks for calling Lakeside Insurance. Our office is closed for the holiday and reopens on Monday. Leave a message and we will call you back when we return. If you need to report a claim, please contact your insurance carrier's claims line."

Set a reminder to change holiday greetings back. An old holiday message in February makes a business look closed.

Greetings for urgent situations

7. Home services with emergency service "Thanks for calling Riverside Plumbing. If you have an active leak or a sewer backup, say 'emergency' at the start of your message and we will call back as soon as possible. For anything else, leave your details and we will call you tomorrow. If you smell gas, leave the building and call your gas utility or 911."

8. Medical or dental office "You have reached Bright Smile Dental. Our office is closed. If you are having a medical emergency, hang up and call 911. For urgent dental problems, leave your name and number and the on-call dentist will be notified. For appointments, leave a message and we will call you when we open."

Keep safety instructions first and clear. Never imply a voicemail box is an emergency service.

Greetings for specific industries

9. Law firm "Thank you for calling Morgan Legal. We cannot take your call right now. Please leave your name, number, and the type of legal matter, and let us know if it is safe to leave a message at that number. Leaving a message does not create an attorney-client relationship."

10. Property management "Thanks for calling Oak Street Property Management. If you are a tenant with a maintenance emergency like flooding or no heat, press 1 or say 'emergency' in your message. For leasing questions, leave your name, number, and the property you are interested in."

Adapt the press-1 option only if your phone system actually supports it.

Recording tips

  • Write it out first, then read it aloud a few times before recording.
  • Record in a quiet room, close to the phone.
  • Smile while you talk. It changes your tone.
  • Speak a little slower than normal, especially your business name and any numbers.
  • Keep it under 20 seconds where you can.
  • Listen back on a phone, not computer speakers, since that is how callers hear it.
  • Update it whenever hours, services, or holiday schedules change.

When to replace voicemail altogether

Even a great greeting has a weakness: it asks the caller to do the work. Many callers hang up instead of leaving a message, and those who leave one often leave something vague.

If you look at your call log and find many missed calls with no message, consider having those calls answered instead. Options include a human answering service or an AI receptionist. Published prices, checked Oct 17, 2026, include Ruby from $250 per month for 50 minutes (Ruby pricing) and Goodcall at $79, $129, or $299 per month (Goodcall pricing).

DialSwarm's AI reception answers your line after hours or when you miss a call. It says it's an AI if a caller asks, learns your business from your website, asks the questions a good greeting would, takes a clear message, and flags urgent ones. You can forward missed calls from your cell to it. DialSwarm bills connected calls only, so unanswered dials don't count. You get 10 free calls with no card, and current plans are on the pricing page.

Keep a good voicemail greeting as a backup either way.

Mistakes that make callers hang up

  • A long list of menu options before the beep.
  • Background noise or music that drowns out the words.
  • An outdated greeting with old hours or a holiday that has passed.
  • No callback expectation, so the caller assumes nobody will call.
  • A full mailbox. Clear it regularly, or callers cannot leave a message at all.
