Outbound Calls for Insurance Renewals: A Retention Campaign Playbook
Why renewal calls are worth the effort
For an insurance agency, renewal is the moment a client is most likely to shop. A premium change arrives, a competitor's ad catches their eye, or a friend mentions a lower rate. A short call before the renewal date gives the agency a chance to review coverage, catch life changes, and answer questions before the client starts looking elsewhere.
The problem is volume. Renewals arrive every month, and producers are busy with new business and service work. Renewal calls are often the first thing to slip.
This playbook covers how to run a renewal campaign that actually happens, with an AI agent handling the first layer of calls and licensed staff handling coverage conversations.
Segment the book before you dial
Not every renewal needs the same treatment. Split your upcoming renewals into groups:
Premium increase. Clients whose renewal premium is going up noticeably. These are the most likely to shop and the most valuable to call.
Single-line clients. Clients with only one policy, such as auto only. A review is a natural moment to ask about home, renters, or umbrella coverage.
Life changes likely. Clients with a teen nearing driving age, a recent move, or a new business. You may know some of this from your records.
Stable, multi-line clients. Lower risk. A lighter touch, or an email, may be enough.
Your agency management system or HubSpot export can produce these lists. DialSwarm syncs with HubSpot today. Other systems can connect through Zapier, Make, webhooks, the API, or a lead list upload.
Timing the campaign
Start early enough that a review can happen before the renewal date, and late enough that the renewal is on the client's mind.
A practical schedule:
- Several weeks before renewal: first call attempt, with a short voicemail if no answer.
- A few days later: second attempt at a different time of day.
- About a week later: third attempt, with a closing voicemail, plus a follow-up task for the account owner to send a personal email.
A Steady call schedule in DialSwarm fits this pattern. Calls must fall within 8 a.m. to 9 p.m. in the client's local time for telephone solicitations, per 47 CFR 64.1200 (accessed Oct 17, 2026).
A renewal call script
Here is a script for the AI agent's part of the call. It stays on the unlicensed side: confirming details and booking time with a licensed agent.
Opening "Hi Pat, this is an assistant calling for Lakeside Insurance. Your auto policy renews on May 15, and we are reaching out to offer a quick review with your agent. Is now an okay time for two questions?"
Questions 1. "Has anything changed in the past year, like a new car, a new driver, or a move?" 2. "Would you like to go over your renewal with a licensed agent, either now or at a time that suits you?"
If yes, now: "Great. I am connecting you with Lee, one of our licensed agents. I will pass along what you told me."
If yes, later: "What day and time work best? I will book it with Lee."
If no: "No problem. Your renewal will go through as scheduled. If you have questions later, call this number."
If they ask to stop: "Understood. We will not call you about this again."
Voicemail "Hi Pat, this is an assistant for Lakeside Insurance. Your auto policy renews May 15, and your agent would be glad to do a quick review. Call us at this number anytime."
Notice what the script leaves out: premiums, coverage recommendations, and comparisons. Those require a license and belong with your licensed staff.
Consent and compliance for renewal calls
Existing clients feel like safe calls, but the rules still apply.
- AI voice consent. The FCC confirmed in February 2024 that AI-generated voices are artificial voices under the TCPA, so calls using them need prior express consent, and written consent for telemarketing (FCC Declaratory Ruling FCC-24-17, accessed Oct 17, 2026). Check that your client agreements or forms captured consent that covers AI or artificial voice calls. If not, update your consent process before the campaign.
- Telemarketing rules. A renewal call that offers additional products can be telemarketing. The FTC's Telemarketing Sales Rule covers disclosures, do-not-call requests, and recordkeeping (FTC, Complying with the Telemarketing Sales Rule, accessed Oct 17, 2026).
- Opt-outs. Artificial voice telemarketing calls must offer an automated way to opt out during the call. DialSwarm agents honor stop requests.
- Licensing. Keep coverage discussions with licensed staff. Your state department of insurance sets the rules.
- Health and Medicare lines. These have their own federal marketing rules. Get specific compliance guidance before including them in any automated campaign.
This is general information, not legal advice.
Handing off to licensed staff
Set up the warm transfer group with licensed agents only, and match by line of business if your agency splits personal and commercial. Make sure transfer hours match when agents are actually available. When nobody is free, the AI books a time rather than leaving the client waiting.
Agents can listen in live on calls and coach the AI mid call by typing or talking, which helps during the first week of a campaign.
Measuring the campaign
Track for each renewal month:
- Share of renewing clients reached.
- Reviews completed before the renewal date.
- Policies retained compared with the same month last year.
- Additional lines quoted and written.
- Stop requests, as a signal of campaign tone.
DialSwarm bills connected calls only, so attempts that do not connect are not billed. DialSwarm bills connected calls only, so unanswered dials don't count. You get 10 free calls with no card, and current plans are on the pricing page.
Personal touches still matter
An AI agent can handle the dialing, but renewal relationships are personal. Add a follow-up task for the account owner on high-value clients so they send a short personal note or make the review call themselves. Use the agent for reach and scheduling, and your producers for the relationship.
