Voicemail Scripts That Get Callbacks: 12 Examples for Sales and Service

DialSwarm team · October 17, 2026 · 4 min read

What makes someone call back

A callback happens when three things are true. The person recognizes why you called. Calling back seems easy. And there is a small, concrete reason to do it now.

That is it. Clever openers and long pitches work against all three. The scripts below are short on purpose. Each one names something the person did, gives a single next step, and ends.

Two notes before the scripts. First, these are examples to adapt, not guaranteed formulas. Test them on your own leads. Second, a voicemail is still a call. If an AI agent leaves it, the person must have agreed to be called, and the message should name your business and give a callback number.

Scripts for new inbound leads

1. Demo request, same day "Hi Jordan, this is Dana from Northwind. You asked for a demo this morning. I have two openings tomorrow, at 10 and at 2. Call or text me back at this number and I will hold one for you."

Why it works: it references the request and offers two specific times, so calling back has an obvious purpose.

2. Contact form with a question "Hi Priya, this is Dana at Northwind. You asked whether we support multiple locations. Short answer, yes, and I can show you how in five minutes. My number is this one. Talk soon."

Why it works: it answers part of the question, which proves you read it, and leaves the useful part for the call.

3. Event follow-up "Hi Alex, Dana from Northwind. We met at the trade show booth on Thursday and you asked me to follow up. I am sending a short email now with the checklist we talked about. If you want to go through it together, call me here."

Why it works: it jogs memory with a place and a day, and pairs the voicemail with an email.

Scripts for quotes and estimates

4. Insurance quote "Hi Sam, this is Lee at Lakeside Insurance. Your auto quote is ready. It takes about five minutes to walk through. Call me back at this number whenever it suits you today."

5. Home service estimate "Hi Morgan, this is Chris from Riverside Plumbing about your water heater estimate. We have an install opening Thursday if you want it. Call or text this number and I can lock it in."

6. Second attempt on a quote "Hi Sam, Lee at Lakeside again. No pressure, just letting you know your quote is good through the end of the month. Call me if you have questions."

Why these work: a concrete status ("ready"), a time estimate for the call, and a real reason to act (an opening, an end date that you actually honor).

Scripts for existing customers

7. Renewal review "Hi Pat, this is Lee from Lakeside. Your policy renews next month and I would like ten minutes to make sure it still fits. Call me back here, or reply to the email I just sent with a good time."

8. Service follow-up "Hi Taylor, Chris from Riverside Plumbing checking in after last week's repair. If anything is not right, call us at this number and we will come back out."

9. Account check-in "Hi Jamie, Dana from Northwind. Your team added five users this month, so I wanted to share a couple of setup tips. I will email them now. Call me if a quick walkthrough would help."

Why these work: the customer already knows you, so the message is about their benefit, not your pitch.

Scripts for AI agents

AI voicemails should identify themselves, every time. DialSwarm agents never claim to be human and say they're an AI when asked, and voicemail should match.

10. AI first attempt on a demo request "Hello Jordan, Northwind's assistant here. Your demo request came in earlier, and a person on our team would like to set it up. Call back on this line, or pick up when we ring again around 3."

11. AI quote follow-up "Hi Sam, this is an assistant for Lakeside Insurance. Your quote request came through and a licensed agent is ready to go over it. Call this number to reach the team."

12. AI final attempt "Hello Jordan, it is Northwind's assistant with a last note on your demo request. This is our final call, so the next step is yours. Ring this number whenever suits you and a person will pick up."

Why these work: honesty up front, a specific reason, and a clear end. The final message tells the person the calls will stop, which respects their time and sometimes prompts a reply.

When a lead calls back and nobody is free, DialSwarm's AI reception can answer, take a clear message, and note that it is a returned call, so the rep follows up quickly.

Callback killers to avoid

  • Mystery messages. "Call me back, it is important." People do not call back strangers who will not say why.
  • Fake familiarity. Pretending you have spoken before.
  • Long pitches. Anything past about 30 seconds.
  • Reading the number too fast, or mumbling the company name.
  • Sensitive details. Never mention health, legal, or financial specifics in a voicemail. Someone else may hear it.
  • Hiding that it is AI.
  • Voicemail on every attempt. First and last is usually enough.

The rules still apply

Voicemails left with an AI or prerecorded voice count as calls under the TCPA. The FCC confirmed in February 2024 that AI-generated voices are artificial voices, so those calls need prior express consent, written for telemarketing (FCC Declaratory Ruling FCC-24-17, accessed Oct 17, 2026). Only leave AI voicemails for people who agreed to be called, and honor stop requests. This is general information, not legal advice.

Automating the pattern

In DialSwarm, voicemail rules are set per call schedule, so you decide once which attempts get a message and which script to use. DialSwarm bills connected calls only, so unanswered dials don't count. You get 10 free calls with no card, and current plans are on the pricing page.

Questions

How long should a voicemail be to get a callback?

Short. Around 20 seconds: who you are, why you called, and one next step.

Should I mention a deadline?

Only a real one, like an opening or a quote expiration you will honor. Fake urgency backfires.

Should AI voicemails say they are AI?

Yes, every time.

How many voicemails should I leave?

Usually one on the first attempt and one on the last.

Try it on your own phone.

Build an agent in ten minutes and have it call you first. 10 free calls, no card. You only pay for calls a person answers.
