Warm Transfer Scripts: Word-for-Word Examples for AI and Human Handoffs

DialSwarm team · October 17, 2026 · 5 min read

The three lines every warm transfer needs

A warm transfer passes a caller to another person along with the context, so the caller does not have to repeat themselves. In practice, a good transfer comes down to three lines:

  1. The heads-up to the caller. "I am connecting you with Dana now."
  2. The context. What the receiver needs to know, either spoken or passed along with the call.
  3. The pickup. The receiver's first sentence, which proves the context arrived.

The scripts below cover each line, for both AI-initiated transfers and human ones. Adapt the words to your voice. Keep them short.

Scripts for the handoff to the caller

These are what the AI agent or first person says right before transferring.

Standard handoff "Thanks, that is really helpful. I am going to connect you with Dana on our team now. She will have your details, so you will not need to repeat anything. One moment."

Handoff to a specialist "That is a great question for one of our licensed agents. I am connecting you with Lee now, and I will pass along what you told me."

Handoff when the caller asked for a person "Of course. Let me connect you with someone on the team right now."

Handoff with a short wait warning "I am connecting you now. It may ring for a few seconds while I reach Dana."

What these share: the caller knows who they are going to, knows their information is being passed along, and is not surprised by a ring or a pause.

DialSwarm agents never claim to be human and say they're an AI when asked, so by the time of the transfer, if the caller asked, they already know they were talking with an AI assistant. The handoff should never pretend otherwise.

Scripts for the rep picking up

The pickup is where most warm transfers succeed or fail. The rep's first sentence should use the context.

Sales demo request "Hi Sam, this is Dana. I hear you are looking to move your team off spreadsheets before your busy season in March. Is that right?"

Quote request "Hi Jordan, Lee here, one of the licensed agents. I see you are shopping for auto coverage and your renewal is next month. Let us take a look."

Service estimate "Hi Morgan, this is Chris from Riverside. Sounds like the water heater is leaking and you want someone out this week. Let me find you a time."

When the context is thin "Hi, this is Dana. I have a note that you are interested in pricing. Can you tell me a little about what you are looking for?"

Avoid: "So, what can I do for you today?" It tells the caller the handoff did not work.

Industry examples

Insurance (to a licensed agent) Agent to caller: "Thanks, Pat. Because you would like to compare coverage options, I am connecting you with one of our licensed agents now." Rep pickup: "Hi Pat, this is Lee. You mentioned a new teen driver and a renewal in May. Let us look at your options."

Real estate (to the listing agent) Agent to caller: "Great, I will connect you with Taylor, who has this listing." Rep pickup: "Hi Alex, Taylor here. You are interested in the house on Maple and would like to see it this weekend. Saturday morning work?"

B2B software (to an account executive) Agent to caller: "Thanks. I am connecting you with Jamie, who works with teams your size." Rep pickup: "Hi Priya, Jamie here. You have about 40 people across two locations and want to see the reporting features. Let me show you."

Staffing (to a recruiter) Agent to caller: "You meet the basics for this role. I am connecting you with Casey, the recruiter, now." Rep pickup: "Hi Drew, Casey here. You are available for second shift starting Monday and have your forklift certification. Let us talk about the site."

Fallback scripts when the transfer fails

Transfers sometimes fail. Have honest scripts ready.

Nobody available "It looks like everyone on the team is with other customers right now. I do not want to keep you waiting. Can I book a time for Dana to call you? What works today or tomorrow?"

Transfer rang out after connection attempt "I am sorry, I was not able to reach Dana just now. I will have her call you back within the hour. Is this the best number?" Only promise a time you can keep.

Call dropped during transfer (rep calling back) "Hi Sam, this is Dana. I think we got cut off during the transfer. Sorry about that. You were telling us about your busy season in March."

Caller changes their mind "No problem at all. Would you like me to book a time later, or would you prefer we not follow up?"

If the caller asks not to be called again, honor it. DialSwarm agents honor stop requests on the call, and current FCC rules allow up to ten business days to process reasonable revocation requests (Kelley Drye summary of the FCC's revised revocation rules, accessed Oct 17, 2026). Stop immediately anyway.

Inbound transfers from a receptionist

The same principles apply when a receptionist hands off an inbound call during business hours.

Receptionist to caller "Thanks for calling. I am going to connect you with our service manager, Robin, who can help with the warranty question. One moment."

Pickup "Hi, this is Robin. I understand your system was installed last year and is making a new noise. Let us figure it out."

Making scripts work in practice

  • Practice the pickup. Have reps listen to a few recorded transfers and rehearse their first line. DialSwarm recordings are opt in.
  • Listen in live. Reps can listen to calls in progress and coach the agent mid call by typing or talking, so they are ready when a transfer comes.
  • Log outcomes. DialSwarm syncs with HubSpot today, so transfer results can land on the contact.

AI calls should only go to people who agreed to be called. The FCC confirmed in February 2024 that AI-generated voices are artificial voices under the TCPA (FCC Declaratory Ruling FCC-24-17, accessed Oct 17, 2026). DialSwarm bills connected calls only, so unanswered dials don't count. You get 10 free calls with no card, and current plans are on the pricing page.

Questions

What should I say before a warm transfer?

Tell the caller who you are connecting them to and that their details will be passed along.

What should the rep say when picking up?

Use the context in the first sentence so the caller does not repeat themselves.

What if nobody answers the transfer?

Say so honestly and book a callback at a time the caller chooses.

Try it on your own phone.
