CRM Sync
CRM sync is the automatic sharing of contacts, activities, and outcomes between a sales tool and a customer relationship management system.
A CRM, such as HubSpot or Salesforce, is where a team keeps its record of leads, deals, and conversations. Calling tools, email tools, and forms all generate data that belongs there. CRM sync moves that data without manual copying.
What usually syncs:
- Contacts and companies, often in both directions.
- Call activity: date, time, duration, and disposition.
- Notes and call summaries.
- Recording links, when recordings are enabled.
- Do-not-call and opt-out status.
- Deal or lead stage changes, such as "qualified."
Why it matters:
- Reps see the full history before a call.
- Managers get accurate reports without chasing spreadsheets.
- Opt-outs reach every system, reducing compliance risk.
Questions to ask a vendor:
- Which CRMs are supported today, not "on the roadmap"?
- Is the sync one way or two way?
- How fast does it update?
- Which fields can be mapped?
- What happens with duplicates?
If a tool does not support your CRM natively, webhooks, an API, or automation tools like Zapier or Make can often fill the gap. Test with a few records before syncing a whole database.
