Warm Transfer
A warm transfer is a call handoff where the person or AI agent passing the call introduces the caller and context to the next person before stepping away.
In a warm transfer, the caller never has to start over. The first party, which can be a receptionist, an SDR, or an AI agent, stays on the line long enough to connect the next person and share what they have learned. That might be the caller's name, company, what they need, and the answers to a few qualifying questions.
Compare that with a cold transfer, where the call is simply forwarded and the new person picks up knowing nothing.
A good warm transfer usually follows this pattern:
- Tell the caller what is about to happen and who they will speak with.
- Bring the rep onto the call or ring the rep's phone.
- Give the rep a short summary in plain words.
- Confirm the caller is comfortable, then drop off.
Warm transfers matter most in sales because the buyer has already given their time. Asking them to repeat everything feels careless. A clean handoff makes the rep look prepared and keeps momentum.
With AI SDRs, the warm transfer is often the main goal of the call. The agent qualifies the lead, then rings a live rep and passes along the notes so the rep can pick up mid conversation. If no rep answers, a good setup books a callback or creates a follow-up task instead of leaving the buyer on hold.
