How to Set Up After-Hours Reception

Guide · 3 min read · Print this page

Calls do not stop when your office closes. A potential customer calls at 7 p.m. with a question, gets voicemail, and calls the next business on their list. After-hours reception makes sure someone, or something, picks up. This guide walks through setting up an AI receptionist that answers calls when your team cannot.

Decide what "after hours" means

Start by listing when you need coverage:

  • Nights and weekends. The obvious gap.
  • Lunch and meetings. Short gaps during the day.
  • Missed calls anytime. When you are on another call or on a job site.

Many businesses use an AI receptionist for all three by forwarding unanswered calls to it.

Step 1: Teach it your business

An AI receptionist needs to know enough to be helpful. Some services, including DialSwarm, can learn the basics from your website. Review what it learned and add:

  • Business name, address, and hours.
  • Services you offer and areas you serve.
  • Answers to the five to ten questions callers ask most.
  • Things it should never do, like quote prices it cannot confirm or promise appointment times.

Keep answers short and accurate. If an answer changes often, have the receptionist take a message instead.

Step 2: Write the greeting

The greeting should say who the caller reached and that they're talking to the after-hours answering agent. Example for a fictional business:

"Thanks for calling Harbor Street Plumbing. I'm the after-hours answering agent for the office. Our team is away right now, but I can take a message or answer a quick question. How can I help?"

If calls are recorded, add a short line saying so. Some states require all parties to consent to recording.

Step 3: Define what is urgent

Write down exactly what counts as urgent for your business. Examples:

  • A plumbing company: active leaks, no water, sewage backup.
  • A property manager: no heat in winter, lockouts, safety issues.
  • A sales team: a current customer with a problem, or a hot lead asking to buy today.

Then decide what happens with urgent calls:

  • A text or app alert to the on-call person.
  • A call transferred to an on-call phone.
  • A message marked urgent at the top of the morning list.

Be careful with true emergencies. Your receptionist should tell callers to dial 911 for life-threatening situations.

Step 4: Set up message delivery

Decide where messages go and in what format. A good message includes:

  • Caller name and phone number.
  • Reason for the call in one or two sentences.
  • Urgency flag.
  • Time of call.

Send messages where you will actually see them, whether that is text, email, or your CRM. Test it.

Step 5: Forward your calls

There are two common setups:

  • Forward your business line after hours or when unanswered.
  • Forward missed calls from your cell phone. Most carriers support conditional forwarding for no answer, busy, or unreachable. Check your carrier's instructions.

Callers keep dialing the number they already know. Nothing changes for them except that someone answers.

Step 6: Test it like a customer

Call your own number after hours and try:

  • A simple question about hours.
  • A new customer asking for a quote.
  • An urgent issue.
  • A caller who wants a person and nothing else.
  • A caller who asks to not be contacted again.

Listen for accuracy, tone, and whether messages arrive correctly.

Step 7: Review the first two weeks

Read every message for the first two weeks. Look for:

  • Questions it could not answer that should be added.
  • Urgent calls that were not flagged, or routine calls flagged as urgent.
  • Messages missing key details.

Update the instructions and test again. After that, a weekly scan is usually enough.

Follow-up matters

An AI receptionist takes the message. Your team still needs to call back. Set a rule, such as returning all messages by 10 a.m. the next business day and urgent ones within the hour. If you follow up with outbound sales calls or texts, make sure you have the right consent.

Quick checklist

  • Coverage hours defined
  • Business info and top questions loaded
  • Greeting names your business, and the agent says it's an AI if asked
  • Recording disclosure, if you record
  • Urgent criteria and alert path written down
  • 911 guidance for emergencies
  • Messages delivered where you will see them
  • Call forwarding set up and tested
  • Two-week review scheduled
  • Callback rule set

After-hours reception does not replace your team. It makes sure your team gets the message.
